ZOIPI AI is an AI tools directory. This policy explains what personal data we collect, why we collect it, how long we keep it, and the rights you have under the EU/UK General Data Protection Regulation (GDPR). We are the data controller for the data described here. Contact us any time at hello@zoipi.com.
1. Data we collect
Tool submissions. When you submit a tool we collect your name, email address, the tool details you provide, an optional badge placement URL, and the consent choices you made on the form (status emails, newsletter) together with the time you made them. If you create an account, your login email and a securely hashed password are stored by our authentication provider.
Reviews and discussion. Your display name, rating and review text are public once approved. Your email address is collected for moderation and abuse prevention only, and is never shown publicly or returned by our public API.
Contact and partnership forms. Name, email, subject, target URL and the message you send us.
Analytics. We use privacy-friendly, cookie-light analytics to count page views, searches and outbound clicks in aggregate. We do not build advertising profiles and we do not sell personal data.
2. Why we use it, and our legal basis
To review and publish your listing β performance of the service you requested, and our legitimate interest in running a curated directory.
Submission status emails β sent because you gave explicit consent on the submission form. These messages are strictly operational: confirmation of receipt, approval, rejection, requests for missing information, badge verification results and listing changes. This consent is required to submit, because we cannot process a listing we cannot tell you about.
Newsletter and product updates β sent only if you ticked the separate, optional newsletter box. It is unticked by default, it is never bundled with the required consent, and you can withdraw it at any time through the unsubscribe link in every newsletter or by emailing us.
Security, anti-spam and moderation β our legitimate interest in keeping the directory free of spam and fraudulent listings.
3. Anti-spam commitment
We never send unsolicited bulk email, we never sell or rent your email address to third parties, and we do not add submitters to marketing lists without an explicit opt-in. Every non-operational email includes a one-click unsubscribe. Unsubscribing from marketing never stops the operational emails about your own submission, and vice versa.
4. Sharing and processors
We share data only with service providers who process it on our behalf: our hosting and database provider, our email delivery provider, and our analytics provider. They act on our instructions under data processing agreements. Where data is transferred outside the EEA/UK, it is covered by Standard Contractual Clauses or an adequacy decision.
5. Retention
Published listings and approved reviews stay online while your tool is listed. Rejected submissions and their contact details are deleted within 12 months. Contact and partner messages are kept for up to 24 months. Consent records are kept for as long as we rely on them, plus a reasonable period to prove compliance.
6. Your GDPR rights
You have the right to access your data, correct it, have it erased, restrict or object to processing, receive a portable copy, and withdraw consent at any time without affecting processing already carried out. Email hello@zoipi.com and we will respond within 30 days. You also have the right to complain to your local data protection authority.
To delist a tool, or to have your submitter details removed, write to us from the email address used for the submission and we will remove the listing and associated personal data.
7. Cookies
We use essential cookies for sign-in sessions and to remember your theme preference. Our analytics does not use tracking cookies or cross-site identifiers, so no consent banner is required for it.
8. Children
ZOIPI AI is not intended for anyone under 16, and we do not knowingly collect data from children.
9. Changes
We will update this page when our practices change and revise the date at the top. Material changes affecting consent will be communicated by email where we have your permission.
